Job Summary:
The Program Specialist ranks tasks in order of importance and impending deadlines and handles several tasks simultaneously. The individual must develop a working knowledge of DOS and USAID policies and guidelines, as well as corporate practices and procedures. The individual is expected to become familiar with office/division technical issues and policies.
Job Responsibilities:
Manages both internal Congressional Roll-out and Presentation as well as the OMB Submission Presentation processes.
Generates tables and analysis from NextGen for Office Leadership to review the data.
Provides Budget Formulation and Execution support during the preparation and roll-out as needed.
Manages and coordinates office supply requests for F/RA and F/COMMS by regularly querying the team regarding any upcoming special supply requests that F/GSO will need to procure, i.e., the supplies for the budget build process and meetings.
Manages and schedules the conference room for meetings of the F/RA and F/COMMS teams.
Manages and maintains the F/RA and F/COMMS Managing Directors daily schedule.
Participates in regular administrative support meetings to coordinate leadership calendars.
Liaises with the F/GSO team to make sure F/RA and F/COMMS directorates are taken care of IT requests, building and suite access, ordering supplies, copier/printers’ issues, etc.
Assists the F/MO Team with onboarding and off-boarding staff based on the Standard Operating Procedures (SoPs)
Manages both the Congressional Report Tracker and the Congressional Notification Tracker by editing, updating and providing updates to the Managing Director and staff.
Manages and coordinates F-RA led meetings/trainings/presentations.
Provides support in editing documents and developing communication correspondence.
Minimum Qualifications:
The position requires a bachelor’s degree.
4 or more years of professional office experience and experience in conducting analysis.
Applicants must be proficient in a number of Microsoft Products (including word, outlook, share point, excel, teams, and power point), and utilizing the Internet.
Applicants should also have some experience with using database applications.
Active Secret clearance.
