This position requires the handling of different situations, problems, and deviations in the work of the office according to the office general instructions, priorities, duties, policies, and program goals.
Job Responsibilities:
Screen telephone calls, visitors, and incoming correspondence; respond to requests for information concerning office procedures; determine which requests should be handled by the supervisor, appropriate staff member or other offices, prepare routine non-technical correspondence.
Assist the office with Scheduling appointments, make arrangements for conferences and meetings and assemble established background materials as directed.
Review outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures; assure that proper clearances have been obtained, when needed.
Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc. Collect information from the files or staff for routine inquiries on office program(s) or periodic reports, and refer non-routine requests to supervisor.
Coordinate personnel and administrative forms for the office and forwards for processing.
Minimum Qualifications:
You must be able to meet all health requirements, including but not limited to, current and future vaccination requirements for infectious diseases such as COVID-19.
Minimum HS Diploma/ 2 years of advanced education preferred
Minimum two (2) years in relevant work with face to face customer interaction
Advanced Knowledge of MS Word, Excel and PowerPoint
Advanced Knowledge of Outlook Office and Calendar
Intermediate Knowledge in SharePoint
Extensive Office organizational Skills
Good oral and writing skills
